An integral part of our agency, the Front Desk Office Assistant sets the tone for the visitor experience at FNIC. As the first and the last person clients see when they visit the office, the Front Desk Office Assistant is instrumental in making sure they have a positive experience. No insurance experience? No problem! We’re looking for an eager multi-tasker who loves working on a great team and building relationships.

What’s the work like? 

You will:

  • welcome visitors by greeting them, in person or on the telephone in a professional, friendly and hospitable manner and assisting them with their needs
  • coordinate agency hospitality program including; flowers and gifts, sporting and event tickets, sales support catering services and employee business travel
  • manage conference room schedules for FNIC and scheduling First National Bank conference rooms
  • prepares and maintains lobby and convenience centers daily; replenishing supplies, coffee, as needed
  • provide general clerical support and assistance including processing incoming and outgoing mail, distributing incoming faxes, copying and scanning documents
  • prepares and files loss run reports for Claims Department
  • any other special projects and duties as assigned (narratives, proofing, etc)
  • ensure confidentiality is maintained in the collection, maintenance, and dissemination of highly sensitive information, including Protected Health Information (PHI)
  • provide back up and/or support to other members of the Administration team, when needed
  • maintain regular and consistent attendance

What do I need to know?

You have to have…

  • high school diploma or equivalent
  • one year prior administrative assistance or equivalent work experience.
  • ability to multi-task
  • excellent verbal communication and phone etiquette skills
  • excellent customer service skills
  • proficiency in Microsoft Office products (Word, Excel, PowerPoint)  and electronic mail system (Outlook)
  • proficiency in office equipment such as computer, copier, phone and fax machine
  • regular and consistent attendance
  • ability to observe safety and security procedures and use equipment and materials properly
  • ability to conform with and abide by all workplace policies, work procedures, and instructions
  • ability to establish and maintain effective working relationships with Company employees and external contacts
